What counts as a "booking"

On YouthOS, a booking is your registration for an event — whether that's a free workshop, a paid conference, a community meetup, or a volunteer session. The moment you tap "Register" or "Get Ticket", you've made a booking and reserved your spot.

This policy covers how those bookings work: from confirmation and tickets, to cancellations, transfers, no-shows, and check-in. It works alongside our Terms & Conditions and Privacy Policy.

How booking works

Booking an event on YouthOS takes seconds. Here's the flow:

Find an event

Browse events on YouthOS and open the one you want to attend.

Register or buy a ticket

Tap register for free events. For paid events, complete payment via BillPlz.

Get your confirmation & ticket

You'll receive a confirmation and an encrypted QR code ticket in the app.

Show up & check in

At the venue, present your QR code to be scanned in. That's it — enjoy the event.

Your QR code is your entry

Every confirmed booking comes with an encrypted QR code. This is your ticket — keep it handy in the YouthOS app.

Single-use only

Each QR code can only be scanned once. After it's scanned at check-in, the ticket is marked as redeemed — no double entries, no reusing the same code.

Don't share your code

Your ticket is tied to your booking. If someone else scans your QR code before you do, your spot is considered used. Treat your ticket like a physical pass — keep it to yourself.

Cancelling your booking

Free events

You can cancel your registration at any time before the event starts — no cost, no questions. Cancelling frees up your spot for someone else who wants to attend.

Paid events

For paid events, cancellation and refund terms are set by the event organiser. Check the organiser's refund policy on the event page before booking. YouthOS processes payments via BillPlz but does not set refund terms on behalf of organisers.

Please cancel if you can't make it. A cancelled spot can go to someone on the waitlist. No-shows take that opportunity away from someone else.

No-shows

Life happens — we get it. But repeatedly booking events and not showing up isn't fair to organisers who prepare for attendees, or to others who missed out on a spot.

If you no-show on multiple bookings, we may limit your ability to register for future events. This keeps things fair for the whole community.

Simple fix: if you can't attend, cancel your booking beforehand. No penalty, and someone else gets your spot.

When organisers change or cancel an event

Event changes

Organisers may update event details like the time, venue, or agenda. For meaningful changes, we'll do our best to notify registered attendees. Always check the event page for the latest details before heading out.

Event cancellations

If an organiser cancels an event, registered attendees will be notified. For paid events, ticket holders will be refunded according to the organiser's refund policy and applicable law. YouthOS will assist in facilitating refunds where possible.

YouthOS is a platform that connects organisers with attendees. We don't organise events directly and aren't responsible for an event running as described — but we'll always help you reach the organiser if something goes wrong.

Transferring your ticket

By default, bookings are personal and tied to your YouthOS account. Whether a ticket can be transferred to someone else depends on the event organiser's rules.

Some organisers allow transfers (e.g. passing your spot to a friend), while others require the original registrant to attend. Check the event page or contact the organiser if you're unsure.

Avoid swapping screenshots. Your QR code is single-use and tied to your booking. Unofficial transfers outside the platform can't be verified at check-in and may be refused entry.

Full events & waitlists

Some events have limited capacity. Here's what happens when an event is full:

If a spot opens, the next person is notified

Confirm quickly — open spots are first-come, first-served

Waitlists are managed per event by the organiser

Changes to this policy

We may update this Booking Policy as YouthOS evolves — for example, if we add new event types or booking features. When we make meaningful changes, we'll let you know through the app or via email. The "last updated" date at the top of this page reflects the most recent revision.
